Create a Document in DUNE DocDB


Getting Access to DUNE DocDB

You will need a

  • DocDB username/password combination (specific to DocDB) or,
  • A certificate loaded in your browser and recognized by DocDB

 in order to access DUNE DocDB.  Email dune-docdb to request this access if you do not have it already.

  • Using a web browser of your choice, go to docs.dunescience.org
  • If you have a DocDB username/password click on the 'Private' link
  • DocDB recognized certificate in your browser, click on the 'Certificate Version of DUNE DocDB' link

Creating a Document in DocDB

  • Click on 'Create or change documents or other information' located towards the top of the page
  • If you are creating a new document -
    • Enter the number of file(s) you will be uploading in the box on the first line starting with the 'Create a new document from … file(s) on your local computer'
    • Click the 'Create a new' button on this first line
    • Enter a title for the file(s) that you will be uploading.  
    • Enter text for the Abstract, as to what these file(s) are.
    • Do not enter any Keywords
    • Do not enter any Notes and Changes
    • Click the 'Browse' button on the 'File:' line under 'Local file upload'.  Browse to the file to upload and click 'Open' on the browse window.
    • Do this for every file you want to include in this single DocDB number.
    • You can enter a description for each file if you want, although it is ok to leave this blank, the filename will be displayed instead of a description.
    • Keep the 'Main' checkboxes checked.
    • Enter the 'Document Type'
    • Scroll in the 'Submitter' box to find your name.  Click on it once to select it. If your name is not there, select ', Author Non-LBNF' at the top of the list.
    • Do the same for the 'Authors' box.
    • The item checked under 'View' should be the group that you want to be able to read the document.  More than one item in one of these boxes can be checked by clicking on the first item and then holding down the Control key and clicking on the 2nd item. Typically at least the 'dune' choice is picked.
    • Select the group under the Modify permissions box that is allowed to read/write this document.  More than one item in one of these boxes can be checked by clicking on the first item and then holding down the Control key and clicking on the 2nd item. Typically at least the 'dune' choice is picked.
    • Under the 'Topics' section choose the topics that apply to this document. More than one item in one of these boxes can be checked by clicking on the first item and then holding down the Control key and clicking on the 2nd item.
    • Scroll to the bottom of the page and click the 'Submit Document' button.

Updating an Existing Document in DocDB

  • Enter the DUNE doc No. of the DocDB document on the line that says 'Show DUNE-doc-#…'. You do not need to enter anything in the box next to the '–V'. 
  • Click the 'Show' button on this line.
  • If you are replacing a file listed in this document with a newer version of the file -
    • Click the 'Update Document' button on the left hand side of the page
    • Change any currently listed information that needs to be changed (Title, Abstract…)
    • Enter the reason why a new version is being uploaded in the 'Notes and Changes' box.
    • Reenter each file name next to a 'File' line if the file is being updated.  You can use the 'Browse' button to help find the files on your computer.  If the file is not changing, make no updates here.
    • You do not need to enter a description for each file if you do not want.
    • Scroll in the 'Submitter' box to find your name. Click on it to select it.
    • Scroll to the bottom of the page and click the 'Submit Document' button.
  • If you are just changing the Title or other information but are not uploading any new versions of files -
    • Click the 'Update DB Info' button on the left hand side of the page.
    • Change any currently listed information that needs to be changed (Title, Abstract…)
    • Enter the reason why a new version is being uploaded in the 'Notes and Changes' box.
    • Scroll in the 'Submitter' box to find your name. Click on it to select it.
    • Scroll to the bottom of the page and click the 'Submit Document' button.
  • If there is a link in sharepoint to this document, then you are done.
