NOTE: DocDB approvals are done in series. If this matters, make sure you select the approvers in the order you need.

PREREQUISITE: In order to add approvals to a document in DocDB, you need to access DocDB using a certificate.  If you do not have a certificate, please see instructions on getting one and loading it into DocDB.
  1. Point your browser to DUNE Docdb.
  2. Select the 'Certificate Version of DUNE DocDB' link.
  3. Navigate to the document that will have approvals.
  4. Make sure the document is updated with the document files that will need approval.
  5. Click the 'Update DB Info' button on the left hand side.
  6. Edit the 'Notes' field with a comment that you are adding approvals.
  7. Scroll down some and select yourself as the 'Submitter'.
  8. Scroll to the bottom of the page.
  9. Click the 'Signoff Chooser' link.
  10. In the window that appears, click the name of the first person who will do the signoff.
  11. If there are more approvers, continue by clicking each persons name in succession
  12. (If the person you need to do the signoff is not listed, contact DUNE Docdb help.)
  13. Close the popup window when done selecting all the approvers.
  14. 'Submit' the document.
  15. If you want to be notified when the approvers approve the document, select the 'Watch Document' button in the left hand column.
For admins:
  • Note that  to allow preservation of signatures (by very few people) while both updating the metadata and updating the document you need your cert to have the permissions "special" (for metadata) and "specialdocs" (for document update).
  • When updating a doc, always check for approvals and, if appropriate, preserve them. New document versions typically, but not always, need new approvals.
