How to Use Zoom

Important NOTEs on Zoom Accounts


There are two types of Zoom accounts. You may need one kind or another, or you may not need one at all.  The following table should help you figure out which account (if any) you will need.

* There are other free clients that can be used for audio and video, for example Ekiga.

Before You Start

  • If you were part of the Zoom pilot, then your Zoom account will stay active
  • If you had a Readytalk account (you started meetings), you will be given a Pro Zoom account and will need to create a password
  • You will be given a Zoom personal meeting ID (PMID). You can change this number if you want.  I have set it to my phone number so I can easily remember it. Ask Eileen for help.
  • The url for accessing your account is zoom.us
  • The audio quality is good when using your computer's audio as well as with a telephone
  • You can start and schedule meetings from the web (after logging in) if you would like also
  • There are clients for Windows, Mac, Linux, and mobile devices

How to Get a Standard Zoom Account (in order to start meetings)

  • Go to the SIGN UP FREE button in the upper right hand corner

How to Request a Pro Zoom Account from Fermilab (in order to start meetings)

Getting and Installing the Client on Your Computer If You Have either type of Zoom Account <-  Important First Step

  • Open a browser and go to zoom.us
  • Sign In by using the SIGN IN link in the upper right
  • Click on the HOST A MEETING link in the upper right hand corner.  This will start the download of the client.  You should not need admin permissions to install the client.
  • IMPORTANT: You need to turn off the Join Before Host option for meetings using your personal meeting ID and those with a Zoom generated ID. See the section below on the right hand side on how to do this.

Getting and Installing the Client on Your Computer If You Do Not Have a Zoom Account (just joining meetings) <-  Important First Step

  • You should have received an email with a link to Join from your PC.  Click on the link.
  • This will start the download of the client.  You should not need admin permissions to install the client.
  • If you want to install the client before receiving a meeting invite email -
    • Open a browser and go to zoom.us
    • Scroll to the bottom of the page and click on Meetings Client under Download in the purple section
    • Select the top download button and follow the instructions.

Getting and Installing the Client on Your Mobile Device

  • Clients are available for iOS and Android devices
  • Get them and install them the same way you would other apps

How To Start an Ad-Hoc Meeting

  • You will need to protect your meeting, see the right side of this page for the options you have.
  • Open the client you downloaded above
    • (you can start meetings from the web if you want also)
  • Enter your email and password to login.
  • Click the icon for either Start without video or Start with video
    • This starts the online conference.
  • If you want to use the audio capabilities of your computer for the meeting
    • click the right side tab on the small window that appears entitled - How do you want to join the audio conference?
    • click Join Audio Conference by Computer
  • if you are planning to use the phone for audio
    • click the left side tab on the small window that appears entitled - How do you want to join the audio conference?
    • pick the country you are in in the left hand side pulldown. The phone number is listed in the window.
  • When your cursor is in the Zoom window, a menu of options will appear at the bottom of the window.
  • To share your screen with the other participants, click on the Share Screen icon in the middle of the Zoom window
    • a window with options for sharing will be presented. Pick the one you need.
  • The End Meeting button is in the bottom right hand corner in the menu of options

How To Schedule a Recurring Meeting

  • You will need to protect your meeting, see the right side of this page for the options you have.
  • NOTE: if you use the random meeting ID Zoom will give you for this meeting, then you do not need to use your PMID.
  • NOTE: select the "Enable join before host" option if you want the meeting to be able to start before the host joins the meeting.
  • Open the client you downloaded above
    • (you can schedule meetings from the web, but it will try to download the client again)
  • Enter your email and password to login
  • Click the Schedule icon
  • Fill out the form with your meeting information
  • Click Schedule
  • A popup window will appear with the meeting invitation information.  Click the 'Copy to Clipboard' button if you want to paste this into an email to the invitees. then you can delete this window.
  • Once you open a calendar invitation to schedule the meeting and to send to the invitees, you can paste from the clipboard the information on the meeting
  • You will have to make sure that the time of the calendar invite matches the time in the zoom invite.

How To Start a Scheduled Meeting

  • Open the client you downloaded above
    • You can also do this from the web
  • Enter your email and password to login
  • Select the Meetings icon at the bottom of the client window
  • You will see a list of todays meetings scheduled through Zoom
  • Hover your mouse over the meeting information you wish to start
  • Click the Start button that appears at the bottom of the meeting information
  • A window will appear with your video, and another window asking how you want to join the audio part of the meeting (by computer or phone)
  • If joining by computer, click the Join by Computer tab along the top of the window and follow the instructions
  • if joining by phone, click the Join by Phone tab along the top of the window and follow the instructions
  • If you move your mouse over the video window, you will see meeting controls appear at the bottom of the video


How to Join a Meeting From the Invite Email or Calendar item

  • Click on the link in the email or in the calendar invite.
  • You will be prompted to download the client if you have not already done so.
  • You have now joined the meeting.

How to Join a Meeting Without An Email Invite

  • You will need to have the Meeting ID of the host who is holding the meeting
  • Open the client you downloaded above
  • Enter your email and password to login.
  • Click the icon for Join
  • Enter the Meeting ID in the Join a Meeting window
  • Click the Join button in the Join a Meeting window
  • A window will appear with your video, and another window asking how you want to join the audio part of the meeting (by computer or phone
  • If joining by computer, click the Join by Computer tab along the top of the window and follow the instructions
  • if joining by phone, click the Join by Phone tab along the top of the window and follow the instructions
  • If you move your mouse over the video window, you will see meeting controls appear at the bottom of the video

You Need to Protect Your Meetings

When scheduling/running a meeting you need to do one of the following for your meeting

  • Keep the meeting join URL or Meeting ID off the web, only send it to your meeting attendees
  • Password protect the meeting, send the password only to your meeting attendees
  • Remove the Join Before Host option from your meeting.  See below for how to do that.

How to Remove the Join Before Host Option From Meetings that Use a Personal Meeting ID

  • Open the Zooom client.
  • Click on the small down arrow next to your name on the client window.  Select the 'My Profile' option. this will open a browser window with your profile in it.
  • In the web browser, click on the Meeting Settings tab in the upper left.
  • Unset the Join Before Host option in the middle of the page. This unsets this option for meetings using your personal ID.

How to Remove the Join Before Host Option From Meetings that Use a Unique ID

  • Open the Zooom client.
  • Click on the small down arrow next to your name on the client window.  Select the 'My Profile' option. this will open a browser window with your profile in it.
  • In the web browser, click on the Meeting tab in the upper left.
  • For each meeting you have listed there (these are meetings you have scheduled, you may not have any) -
    • Click on the meeting name to edit its settings
    • If the Enable Join Before Host option is set -
      • Click on the Edit This Meeting button at the bottom of the page.
      • Unclick the Enable Join Before Host option
      • Click the Save butto
